Kids of the Diaspora – THE Retreat

Terms & Conditions

Thank you for your interest in the Kids of the Diaspora Ghana Retreat, taking place from 30 March to 4 April, 2026. By booking and attending this retreat, you agree to the following Terms & Conditions.

1. Our Values & Space Holding

(a) Everyone who feels called to this retreat is welcome.
(b) We are committed to holding a respectful, inclusive, and conscious environment. The retreat is a LGBTQIA+ safer space. All participants are expected to act in alignment with mutual respect, car, and non-discrimination.
(c) The retreat is guided by the practitioners Cherrelle Olukemi and Leni Charles.
(d) Kids of the Diaspora reserves the right to refuse participation or remove any participant whose behaviour is harmful, unsafe, discriminatory, or disruptive to the group dynamic. In such cases, no refund will be issued.

2. Booking & Payment

(a) All bookings are made via the Kids of the Diaspora online shop.
(b) There are different retreat ticket categories, including options with or without accommodation.
(c) A booking is considered binding once full payment, or an agreed first instalment, has been received.
(d) Requests for bank transfer (IBAN) or payment in instalments (Teilzahlung) must be arranged in advance by contacting hi@kidsofthediaspora.com. A booking is only confirmed once the agreed payment has been received.
(e) All payment processing fees (including Stripe fees) are non-refundable.

3. Retreat Dates, Program & Location

(a) The retreat takes place from 30 March to 4 April in Ghana.
(b) Accommodation, if booked through us, will be at Casa Palmera, Kokrobite.
(c) Workshops and art experiences are hosted in collaboration with Dot.ateliers Accra and Dot.ateliers Ogbojo.
(d) Kids of the Diaspora reserves the right to make reasonable changes to the retreat program, schedule, locations, or facilitators due to weather, safety, availability, or unforeseen circumstances. Such changes do not constitute grounds for a refund.

4. Transport

(a) Transport is included exclusively during official workshop and program times, and only between designated retreat locations as outlined in the retreat schedule.
(b) Airport pick-up and drop-off are not included in the retreat ticket. However, Kids of the Diaspora may recommend reliable local drivers upon request. Any such arrangements are made directly between the participant and the driver.
(c) Transport services are provided by third-party local providers. While trusted partners are used, Kids of the Diaspora is not liable for delays, cancellations, accidents, lost items, or changes caused by traffic, weather, mechanical issues, or other circumstances beyond our control.
(d) Transport outside official workshop times, including personal outings, early arrivals, late departures, or unscheduled activities, is not included and remains the sole responsibility of the participant.
(e) Missed transport due to lateness or personal reasons does not entitle participants to refunds, alternative transport, or compensation.

5. Accommodation

(a) The retreat ticket option with accommodation includes a 5-night stay at Casa Palmera, Kokrobite, subject to availability.
(b) The villa accommodates up to 12 participants. Rooms may be shared. Shared beds are optional.
(c) Participants may request to share a room with another person. Private rooms are available for an additional fee, subject to availability.
(d) The accommodation-inclusive ticket includes 2 dinner nights.
(e) The retreat ticket option without accommodation includes the full retreat program: workshops, artist talks, access to retreat locations, 2 dinner experiences, and transport between workshop locations during official program times.
(f) Kids of the Diaspora is not responsible or liable for defects, disruptions, or issues related to the accommodation, including utilities, infrastructure, internet, or other services provided by the accommodation venue.

6. Cancellation Policy

(a) Retreat tickets are non-refundable, as planning, venue bookings, accommodation, transport, and collaborations are confirmed in advance.
(b) As a gesture of goodwill only, the following partial refunds may be offered:

  • 50% refund (excluding processing fees) for cancellations made on or before 31 January

  • 25% refund for cancellations made on or before 28 February

  • No refunds for cancellations made from 1 March onwards

(c) No refunds will be issued for flights, visas, vaccinations, insurance, or any personal travel expenses.
(d) All cancellations must be submitted in writing via email to hi@kidsofthediaspora.com.
(e) Tickets are non-transferable, cannot be resold, and cannot be moved to another retreat or participant under any circumstances.

6. Practitioner Substitution & Program Changes

Kids of the Diaspora reserves the right to replace or substitute any practitioner, facilitator, or contributor listed in the retreat program if they are unable to attend due to illness, travel restrictions, personal emergency, force majeure, or other unforeseen circumstances.

In such cases, the affected sessions will be replaced with alternative programming of equal value, led by a qualified practitioner or adapted format.

The inability of a specific practitioner to attend does not constitute grounds for cancellation, refund, or partial refund, provided that the retreat itself takes place.

7. Health, Well-being & Responsibility

(a) Participation in the retreat is voluntary. Each participant is responsible for their own physical, emotional, and mental well-being throughout the retreat.
(b) You must inform the retreat leaders of any relevant medical conditions, injuries, or mental health considerations prior to the retreat.
(c) You agree to take full responsibility for your participation and to respect your own limits at all times.
(d) We strongly recommend comprehensive travel and health insurance, including coverage for medical care, cancellations, and personal belongings.

8. Liability Waiver

(a) By attending the retreat, you acknowledge that participation involves inherent risks, including physical, emotional, and environmental factors.
(b) Kids of the Diaspora, the retreat leaders (Cherrelle Olukemi and Leni Charles), collaborators, venues, accommodation providers, and transport providers shall not be held liable for any injury, illness, loss, damage, theft, or death occurring before, during, or after the retreat.
(c) You expressly release and waive all claims against the above-mentioned parties, whether arising from negligence or otherwise, to the fullest extent permitted by law.
(d) This waiver applies to the entire duration of the retreat and all related activities.

9. Events Beyond Our Control

Kids of the Diaspora shall not be liable for cancellation, delay, or changes caused by events beyond reasonable control, including but not limited to war, civil unrest, strikes, natural disasters, extreme weather, pandemics, government restrictions, or transport disruptions. In such cases, no refunds are guaranteed.

10. Media & Documentation

(a) During the retreat, photo, video, and audio recordings may be made for documentation and promotional purposes.
(b) By attending, you grant Kids of the Diaspora permission to use such material unless you explicitly withdraw consent in writing prior to the retreat.

11. Privacy

(a) Personal data is processed in accordance with GDPR.
(b) Data will not be shared with third parties outside the retreat organization unless legally required.

12. Passports, Visas & Entry Requirements

(a) Participants are solely responsible for ensuring they have a valid passport, visa, vaccinations, and any required health documentation for travel to Ghana.
(b) Entry requirements may change at short notice and are outside our control.

13. Governing Law

These Terms & Conditions are governed by European Union and Austrian law, unless otherwise required by mandatory local regulations.
